Endeavour is excited to offer a unique opportunity to a passionate and detail-oriented Events Administrator to join our Strategic Events Team, reporting directly to the Director of Strategic Initiatives. As a key player in our organization, the Events Administrator will collaborate closely with various business operations teams, with particular interaction with the Marketing and Accounting departments. This role will be integral to ensuring the seamless execution of Endeavour’s events, allowing us to present our best selves to the world. · Assist with the planning and coordination of strategic events, including conferences, meetings, impact events, and other corporate functions.
· Provide logistical support around catering, transportation, accommodation arrangements, vendor management, and marketing coordination.
· Help manage and maintain event budgets, ensuring all expenses are tracked and kept within the allocated budget.
· Coordinate with external vendors and Accounting to ensure vendors are onboarded into our payment system, purchase requests are processed correctly, and all event requirements are met.
· Collaborate with Marketing to ensure that event materials (invitations, agendas, promotional items, banners, presentations, etc.) are created and integrated into the event production process.
· Oversee event registration and attendee management, including tracking RSVPs and managing guest lists.
· Provide on-site events support to ensure smooth operations, addressing any issues that arise.
· Conduct post-event evaluations to gather feedback, identify areas for improvement, and contribute to continuous improvement.
· Maintain accurate events records, including budgets, contracts, and attendee information.
· Bachelor's degree in Events Management, Hospitality, Business Administration, or a related field.
· 2+ years of experience in event planning and coordination.
· Strong organizational and multitasking skills with ability to manage multiple events simultaneously.
· Excellent communication and interpersonal skills with ability to work effectively with diverse teams and stakeholders.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software, and able to learn new systems quickly and easily.
· Able to work a flexible schedule, including evenings and weekends as needed.
· Able to travel for events as needed.
· Strong problem-solving skills and the ability to remain calm under pressure.
· Detail-oriented with a commitment to delivering high-quality events.
· Experienced working in a corporate environment (preferred).
· Certified in Event Planning or a related field (preferred).
· Knowledge of current trends and best practices in event management (preferred).
